Preconference Assistance
The name Logistics implies a multitude of resources from which to draw. By design, our entire staff is involved
with their individual expertise in the creation and instrumentation of meetings. Prior to the conference,
we offer the following services:
1. Negotiating and Contracting of all Services Required for the Meeting
Logistics can assume accountability and responsibility at any time for room rates, food and beverage requirements,
airline ticketing, ground services, special events and premiums. Ideally, we research and purchase at rates
beneficial to our clients.
2. Acting as Liaison Between All Vendors and the Client -Creation of an agenda of activities complimentary to the
conference
-Conducting of any necessary preconference planning meetings,
site inspections, etc.
-Maintenance of rooming manifests
-Reservation, adjustment and distribution of all airline ticketing
-Selection of menus and coordination of all food and beverage
functions
-Coordination with the audio-visual company to best design
meeting rooms and to engineer preferable us of given space
-Negotiation and handling of all gratuities
3. Theme Conceptualization
-Research and creation of collateral material to use for advance
mailing and at the meeting
-Design of a meeting logo
-Development of advance mailings of incentive mailings utilizing
and further enhancing the importance of the theme
-Orchestration of advance mailing of incentive materials and
meeting information
-Creation and management of special meeting activities in
keeping with the conference theme
4. On-Site Coordination
From our staff of experienced meeting planners and trip directors,
we provide an on-site crew to assure detailed follow-through on the smallest details.
-Welcoming of attendees
-Organization of all necessary personnel to assist arriving
airline
passengers with baggage and boarding of transfer vehicles
-Handling of all portage at the airport and at the hotel
-Coordination of hotel bell staff to best facilitate arrival
and
departure of baggage
5. Coordination of Registration and Staffing
-Coordinate trouble free check-in at the hotel
-Staffing of registration area and assistance of arriving attendees
with registration materials and information
6. Coordination of Meeting Operations
-Act as primary coordinator and liaison between client, personnel
and all audio-visual vendors, guest speakers, hotel staff,
etc.
-Work closely with hotel and off-site vendors to insure "on-time"
functions and efficient crowd control
- Assist attendees with all logistics of conference functions,
special
events and sporting activities
7. Management and Staffing of Hospitality Desk
-Hosting of an information/hospitality desk for the purpose of
central control of the meeting
-At assigned hours, make available tour and other local
information for the attendees
8. VIP Accommodations and Arrangements
-Insuring that all prearrival arrangements are made
-Coordination of necessary amenities
-Working closely with client to guarantee a relaxing and
productive meeting for all corporate executives
9. Assistance In Departure
-Production and distribution of departure notices regarding
dispatch time from the hotel to the airport
-Hosting of a departure hospitality lounge for the comfort of
attendees waiting for their airport transfers
-Coordination and supervision of the departure vehicle
scheduling
